How Apex Park & Recreation Made Registration Day Faster, Smoother, and Worry-Free

If you have ever tried to buy Taylor Swift tickets, you know the drill. You log in early, refresh obsessively, text your friends for backup, and hope the site does not freeze at the exact moment you click checkout. It is high stakes, high traffic, and potentially drags on for hours while waiting in the queue. 

For many families, summer camp registration has felt exactly the same for years. Across the country, thousands of parents log in at the same time, often from multiple devices (or even in-person), trying to secure spots in high demand programs. They are registering multiple children, selecting multiple weeks, completing waivers, and racing against the clock before sessions fill. When systems lag or carts reset, stress compounds quickly.

Apex Park and Recreation District in Arvada, CO has offered extremely popular camp programming over the years. This year, Apex wanted something different: not just another system that survives peak demand, but one that thrives under it, especially on mobile devices where parents increasingly register on the go.

So Apex partnered with Rec to rethink what registration day could be.

Shake [the Stress] Off with Fast Track

The biggest shift Rec introduced with the Apex team was Fast Track, a feature designed so families could prepare before reg day. Instead of trying to assemble carts in the midst of intense traffic, parents could:

  • Browse sessions in advance on their phones
  • Save desired programs to Fast Track
  • Complete prerequisites and fill out forms ahead of time

That meant on reg day, instead of scrambling to find, select, and check out, families simply could confirm their prepared cart and complete the transaction on the go.

The result was not just a faster checkout, but a calmer one for all. Within minutes of 8am, we saw incredible sign up volume: 

  • Over 13k programs were registered in the first five minutes by ~500 households.
  • Over 15k programs were saved via Fast Track before the big day.  
  • 40% of transactions occurred in the first minute.
  • Rec processed over $500K in the first five minutes.

On a registration window that would previously have felt like a rush on multiple browser tabs, in-person waits, and stressed out phone calls, families were able to sign their children up for camp in minutes with ease.

In other systems, a surge of this size would have meant bracing for impact. When thousands of families log in at once, even small delays compound quickly. A moment like this can turn into frozen carts, duplicate submissions, and a flood of support calls. With Rec, the surge still came, but the stress did not.

In addition, Apex staff were able to see how much interest there was before registration day via Fast Track, enabling them to proactively increase capacity for popular camps and plan better in advance.
